Main Goals & Objectives

This position provides key operational management and planning to all facets of the Americas sales operations process regarding vehicle allocation and ordering. Operational management includes the robust record management of vehicle allocations including dealer order % split by model and pool assignments. Additionally this position is responsible for the planning and achievement of targets for vehicle mix in line with Planning Round including vehicle options, Mulliner, accessories and branded goods content and contribution. This role requires strong, positive and pro-active relationships with BML, BMI, Sales Ops Team, Field Team, Retailers and Customers to ensure all processes are in place, adhered to and managed to support timely new vehicle ordering and model mix optimization, optimal option target achievement and colour mix, which includes the implementation of all supporting marketing material. This position is additionally responsible for understanding the market vehicle options, accessories and branded goods demands for achieving future strategic goals.

Role Responsibilities

Manage seamless Dealer order management from vehicle order allocation through to CP8

a. Responsible for the management of the monthly order allocation communication and documentation by Dealer including original order schedule and change requests

b. Manage Vehicle order forms, order guides and price books as well as align with Marketing Communications to ensure strategic promotion of models and options to support current sales challenges

c. Manage Academy ordering system training, vehicle ordering process (incl. options) for product launch courses and for the new Dealer appointments including training enhancements as needed to support Dealer staff changes

d. Develop and manage efficient and effective processes for the Retailer network to avoid misbuilds, maximize complimenting options, including color combinations

e. Responsible for the proactive management of retail order change requests

f. Responsible for the management of retailer monthly order submission ensuring the optimal mix of model, option content and Mulliner is achieved based on historical sales rate analysis and target achievement

g. Manage and track all retail order change requests with the factory

h. Manage and track all order/vehicle trades between Retailers, including from Zone to Retailer

i. Manage the development of sales and ordering related systems in line with market requirements to achieve revenue targets through model mix, option content, Mulliner content, accessories and branded goods

j. Collaborate with Product to create market specific limited editions to support target achievement

k. Day-to-day Dealer contact for all order related questions

Manage seamless Internal order management from order allocation through to CP8

a. Create and manage efficient and effective processes for field to ensure order adherence to ideal model mix and option continent, including colour combinations based on pipeline analysis is adhered to

b. Work with the Distribution Manager to improve Retailer ordering and balance the number of Zone orders submitted by port based on pipeline analysis

c. Identify opportunities and propose solutions to move inventory to Retailers with the field team to maximize product offering

d. Manage and coordinate the specification of launch orders (Press & Marketing, Academy and Retailer Demonstrator/Showroom)

e. Manage option forecasting with BML to ensure proactive management of supply

  • Manage all internal and external communication channels for option revenue opportunities through vehicle ordering
  • g. Represent Sales Operations at BML Launch meetings

    h. Internal fleet Operations management including the adherence to vehicle ordering guidelines developed to maximize auction value, alignment of model ordering to sales goals and the development of a Fleet Operations Guide in line with New Vehicle Operations Guide including Distribution

    i. Manage the development and measurement of KPIs for fleet usage

    j. Responsible for managing all fleet VIN activity through Distribution system, responsible for supporting Marketing and Press to ensure all prospect and customer activity is captured through C@B

    k. Support the management of company stock through pipeline by Region and work with field team to identify measures to turn zone inventory

    l. VIP support management for all vehicle ordering and distribution related requests

    m. Management of Factory output including the maintenance of CP8 information up until CP8 actual

    n. Manage vehicle prioritization and delivery from order to CP8 with BML Sales Operations and through to Dealer with BMI Distribution Manager

    Management of Target Achievement of VL for Vehicle Mix, Option Content & Mulliner while supporting the target achievement of VL for Accessories & Branded Goods

    a. Manage all non-standard Retailer/Customer orders through BML/Mulliner

    b. Manage allocation through order schedules for retailer network and ensure on-time order submission monthly in line with meeting model and option targets

  • Manage the option content uptake on all orders and provide monthly reports by model
  • Sales Operations lead for supporting Aftersales with Accessories and Branded Goods target achievement through Sales Operations by encouraging and incorporating within programs and marketing promotions.

  • Management of Fleet Operations

    a. Manage the day to day fleet operation process and ensure adherence to all Bentley Americas policies and procedures

    b. Ensure optimal fleet usage plans are executed with the field team and Dealers

    c. Provide support to the Pre-Owned Manager for the Bentley auction process which includes Fleet vehicles and Off-Lease returns
