Job Description

The analyst will be a member of the Sales Operations team, report directly to the Sr Manager, Dealer Relations and manage/support the team in the following areas: 

·         National Dealer Communications 

·         Executive Broadcast Communications 

·         National/Regional/Dealer/NDAC Meetings 

·         VWHUB Content Management 

·         Customer Relationship Communications 

·         Management of Special Projects 

·         The role has high visibility to the VWoA executive team as well as the regional and dealer organization 

Role Functions and Responsibilities: 

·         DEALER RELATIONS –90% of Role/Responsibility National Dealer Communications 

o   Support and collaborate with Sr Manager, Dealer Relations on all national dealer communication activities and initiatives 

o   Lead distribution of dealer communications – work with business owners and agency vendor on coordination, drafting, approval, distribution, and posting of all dealer communications in effective and timely manner 

o   Maintain all dealer communication lists and ensure they’re updated with current information 

o   Assist Sr Manager, Dealer Relations with management/billing of overall communications budget per corporate policy 

o   Assist with transition of communications program to new platform for 2019-2021 – including website development and content updates, expansion of communication channels, monthly review of analytics reporting, archiving of previous communications, 

o   Oversee organization of all dealer communications to ensure they are properly filed for easy access 

o   Executive Broadcast Communications 

o   Coordinate and schedule all monthly executive broadcasts with executive team and agency vendor 

o   Assist with development of executive broadcast scripts as needed 

o   Proof all executive videos for accuracy prior to distribution to dealer network and internal teams 

o   Ensure broadcasts are posted to VWHUB and new dealer communications platform in timely manner 

o   National/Regional/Dealer/NDAC Meetings 

o   Assist with development/set-up of National/Regional/Dealer/NDAC meetings, including meeting budget forecasting and documentation, procurement and finance processes, administration, management of minutes, and overall logistics to support execution of high quality meetings 

o   Act as liaison between Dealer Relations team & Travel, Meeting, and Events (TME) planner to ensure organization milestone timelines are on track 

o   Oversee NDAC content on Dealer Communications Microsite 

o   Aid in on-site assistance with meetings as needed 

o   VWHUB Management 

o   Responsible for posting and keeping VWHUB current with department-related, dealer-relevant content 

o   Act as liaison for VWHUB within department and internal IT 

o   Management of Special Projects 

o   Support department with varied special projects as needed 

·         CUSTOMER RELATIONSHIP COMMUNICATIONS – 10% Role/Responsibility 

o   Customer Relationship Communications 

o   Manage creative development, execution, and distribution of VW Life (six editions/year eMagazine), and Welcome Email personalized customer communications 

o   Work collaboratively with internal stakeholders and external vendors to ensure that well-crafted communications are distributed in timely manner 

o   Participate in upgrading and expansion of Customer Relationship Communications 


·         2 years of work experience in the areas of Project Management, Event Planning, Marketing, Communications, Public Relations, and/or Procurement/Budget Management 

·         Computer savvy – highly proficient in Microsoft Office Suite Programs - Power Point, Word, Excel, and Outlook to prepare Executive, Regional and dealer- facing reports and presentations 

·         Exceptional communication skills as will interface regularly with VWoA C-Suite Senior Executive Team and Volkswagen National Dealer Advisory Council on routine basis 

·         Results-driven 

·         Strong organization and writing skills 

·         Self-starter that can prioritize tasks

·         Ability to independently manage multiple tasks on a day-to-day basis

Qualifications - Desired 

·         1-2 years automotive experience preferred 

·         Understanding of automotive dealership/retail experience is a benefit 

·         Experience with executive-level scheduling 

Years of Experience 

·         2 years of work experience in the areas of Project Management, Event Planning, Marketing, Communications, Public Relations, and/or Procurement/Budget Management 

·         1-2 years automotive experience preferred 

Education - Required 

·         Bachelor’s Degree in Business, Marketing, Communications, or Public Relations 

Professional Certificates – Desired 

·         Project Management Certification 

Work Flexibility 

·         Travel – 10-15% (may include weekends) 

·         Extended working hours may be required depending upon projects
